Stadium infotainment and event overlay: one design for everyday and major events

A modern stadium has two lives. Most of the year it runs league matches, concerts and community events. A few times in its life it hosts a major tournament with broadcasters, sponsors, fan zones and far higher expectations. Stadium infotainment has to serve both lives without paying twice.

This article explains what stadium infotainment and event overlay mean, how to design a permanent "legacy" system that is ready for event overlay, and how EvoPro's stadium digitalization services support each stage.

What is stadium infotainment?

Infotainment is everything that informs and entertains people inside the venue. In a stadium it usually brings together:

  • Large-format LED: main screens, scoreboards, LED ribbons and perimeter boards.
  • IPTV and digital signage: screens in concourses, hospitality suites, media areas and back-of-house.
  • Professional sound: open-bowl sound for match presentation and entertainment, coordinated with the PA/VA life safety system.
  • Content and control: content management, scheduling, live feeds and replays, run from a centralized control room.
  • Broadcast interfaces: connections to broadcasters and production teams for matches, ceremonies and live events.

Legacy mode and event mode

Legacy mode is the stadium's everyday operation, run by the venue's own team on its own budget. Event mode is what a major tournament or ceremony adds on top: extra screens and signage, sponsor content, broadcast compounds, temporary control positions and, where required by the client or relevant authority, fan zone interfaces.

The common mistake is to design the permanent system for event mode. The venue then carries the cost, energy use and maintenance of tournament-scale equipment for years after the tournament leaves.

What an event overlay solution is

An overlay is the temporary layer of technology installed for an event and removed afterwards. A good legacy design does not try to be the overlay. It makes the overlay easy, quick and low-risk to plug in by providing reusable interfaces:

  • Spare fibre, network capacity and segregated network zones for event systems
  • Power, containment and rack space at the locations where temporary screens and equipment will go
  • Agreed connection points for broadcast feeds, sponsor content and the event's control positions
  • A content and control system that can accept event inputs without being redesigned
  • Interfaces for fan zones and external sites where the client or authority requires them

How the right design saves and protects CAPEX

  • Save CAPEX: right-size permanent screens, sound and IPTV for legacy use, and avoid over-specification and unnecessary early purchases.
  • Protect CAPEX: choose interoperable, maintainable systems so the investment keeps working and is not replaced before its time.
  • Phase upgrades: plan stadium digitalization in phases, keep suitable existing assets and avoid whole-system replacement.
  • Reduce OPEX: consider energy, cooling, maintenance access and spares in the design, and give the venue a central monitoring and control strategy that a small team can run.
  • Enable future overlay: the reusable interfaces above mean the next major event costs less to deliver.

Our stadium digitalization services

EvoPro supports stadium owners and operators across the full life of the project, as set out in our scope of services:

  • Strategy and master planning: technology strategy, requirements definition, feasibility, system and network architecture, cybersecurity and CAPEX planning.
  • Design and independent design review: concept and high-level design, independent review, performance specifications, BOQ, interface requirements and tender documentation.
  • Stadium digitalization and integration: audio, LED, IPTV and infotainment, centralized control, BIM / AV / ICT / MEP coordination, and legacy and event interfaces.
  • Procurement and technical evaluation: vendor-neutral tender review, compliance matrices, technical bid evaluation and OEM assessment.
  • Technical governance and assurance: design review, QA/QC, factory inspections, FAT/SAT, commissioning governance and acceptance.
  • Operations and lifecycle advisory: operational readiness, SLA strategy, FM requirements, asset and spares planning, and refresh and upgrade strategy.

Our experience

Our team's stadium and arena experience in Qatar includes:

  • FIFA World Cup Qatar 2022™: technology design services, design review and engineering support across eight host stadiums, covering criteria and specifications for scoreboards, perimeter LED, broadcast and VAR-room connectivity, IPTV, open-bowl sound and PA/VA, with legacy- and event-mode planning and FAT/SAT acceptance criteria.
  • AFC Asian Cup and Arab Games 2011: upgrade guidelines and technical specifications for existing stadiums, including scoreboards, PA and open-bowl sound, OB connectivity and match-day media infrastructure.
  • IHF Men's Handball World Championship 2015: arena technology design, master criteria and system layouts for scoreboards, LED ribbons, sound reinforcement, broadcast patching and sports presentation.
  • Doha Asian Games 2006: technical planning and system design for scoring, LED display, public address and sound across more than 107 venues.
  • Qatar Olympic Committee federations portfolio: design criteria and specifications for 35 indoor arenas, 17 outdoor courts and multipurpose facilities.

Because EvoPro does not supply on projects it advises, our recommendations follow the venue's needs, not a product catalogue.
